Accessible event planning

Drees Ringert, owner of the consultancy agency ‘Wir Kümmern Uns’ and, as a wheelchair user himself, an expert in his own right, provides a practical introduction to the basics of accessible event planning. Using specific examples, he explains legal requirements, minimum standards and the needs of visitors with disabilities. The workshop demonstrates how barriers can be identified and removed throughout the entire audience journey – from ticketing and communication, through infrastructure and technology, to on-site services. Participants will gain practical insights into how to integrate accessibility as a hallmark of quality in professional events.

Fire safety requirements for temporary event

An exhibition hall as a concert venue, an industrial building as a temporary event space, or a multi-storey car park as a pop-up venue. In practice, such uses are no longer the exception, but their status under building regulations is often unclear. In this workshop, we will work together to identify which planning permission requirements are triggered for temporary event venues under the relevant state building regulations, which fire safety requirements under the VStättVO and special building regulations must be demonstrated, and how a practical application for planning permission should be structured to satisfy planners, operators and the authorities alike.

Temporary Structures

In this workshop, you’ll gain hands-on experience of what really makes event structures stable. Using components and models, you’ll investigate for yourselves why so-called ‘temporary structures’ in Germany are subject to strict safety requirements. In the process, you’ll learn how load distribution, connections and the choice of materials influence the stability and safety of structures. The aim is to provide an understanding of the often invisible but crucial elements behind festival stages, marquees and temporary event structures in a concise, clear and directly practical way.

Responsibility at events

Responsibility for events is often attributed to individual people. In practice, however, problems usually arise where roles, responsibilities and decision-making processes are not clearly defined. In the workshop, participants will work together to define responsibilities, communication channels and organisational interfaces based on typical event scenarios. The workshop will examine how requirements arising from regulations, guidelines and event practice can be translated into robust organisational structures. The aim is to develop a better understanding of how responsibility can be effectively organised at events before critical situations arise.

Risk assessment for specific staged performances

How can creative staging be reconciled with health and safety at work? Using the practical example ‘Scenic performance involving a risk of falling’ from Appendix 1 of DGUV Information 215-315, participants learn how to identify and assess hazards and determine appropriate protective measures for specific scenic performances.

The foundation for effective AV technology and hybrid communication

In this workshop, participants will learn how the acoustic design of spaces directly influences the performance of AV systems, video conferences and hybrid events. Using lecture theatres, seminar rooms and meeting rooms as examples, the workshop will explain how reverberation, speech intelligibility, loudspeaker positioning and the choice of materials interact. The workshop is aimed at architects, planners and technical managers who wish to create good communication conditions as a basis for learning and exchange. Participants will receive practical tips and examples to help them take acoustics into account at an early stage of planning and implementation.

Accidents at work in the events industry

Even with careful planning and preventive risk assessments, accidents cannot always be prevented. This workshop will examine the different types of accidents and whether any recurring patterns can be identified. Using selected case studies, the situations will be analysed and discussed in order to derive practical preventive measures.
